Privacy Policy

Effective date: September 1, 2026   Version: 1.0

Nick Cowen, doing business as Outwork Robotics ("Outwork," "we," "us," or "our"), operates outworkrobotics.com. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when a person visits the website, creates an account, uses Outwork Programmer, purchases a product, contacts us, or registers for an event.

Outwork does not receive or store full payment-card credentials.

How we use information

We use information to operate accounts and saved profiles; maintain carts; process and document payments, shipping, returns, refunds, disputes, and downloads; create, review, approve, waitlist, deny, withdraw, and charge event registrations; publish the limited event information described below; send confirmations and service messages; answer requests; prevent fraud and abuse; diagnose errors; enforce rules and agreements; comply with law; and protect users, participants, Outwork, and the public.

Public event information

Some event answers help competitors understand the robots and builders they may face. Every question selected for public display is marked "(Your answer to this question will be displayed publicly)." After an entry is approved and placed on a public event list, those selected answers may appear on the event page. Examples may include robot name, builder display name, weight class, robot description, image, and links.

Notification-email questions are always private. Private programmer profiles remain private unless material is separately submitted to a public event question. Public information may be viewed, copied, or archived by others. A person may request correction or removal, although Outwork may retain limited records needed for safety, accounting, legal, or dispute purposes.

Privacy Policy - providers, storage, and retention

YouTube/GooglePrivacy-enhanced embedded video playback and publication of Outwork event video. When a page containing an embedded player loads or a person interacts with it, YouTube may receive device, request, and interaction data under Google's own policies.

We disclose information reasonably needed for these services. Providers process information under their own contracts, terms, and privacy notices. We may also disclose information when required by law, to protect safety or rights, to investigate misuse, to enforce an agreement, in connection with a business transfer, or at the user's direction. We do not sell personal information for money and do not use personal information for targeted advertising.

Cookies and browser storage

The website uses cookies and browser storage for authentication and account security, the temporary private-preview gate while enabled, local and account-synced carts, theme selection, programmer autosave and profile order, temporary discount state, and rate limiting. These technologies are used automatically when needed to provide the website or a feature the user requests. Outwork does not provide separate on-site controls for disabling them because doing so may prevent the requested feature from functioning. The site does not presently use advertising cookies or optional analytics cookies.

Pages containing an embedded YouTube player load that player using YouTube's privacy-enhanced youtube-nocookie.com domain. Loading or using a player may disclose an IP address, browser or device information, the requested page or video, and playback interactions to YouTube or Google, and those providers may use cookies or browser storage under their own policies. Outwork does not provide a separate website setting for disabling embedded video; a visitor may instead use browser or network controls to block third-party content, although doing so may prevent the video from working.

Retention practices

RecordRetention practice
Unfinished registration-image uploadsApproximately two hours; staged uploads not attached to a registration are expired and cleaned.
Saved account cartsNo automatic time-based expiration. Contents remain until changed by the user, purchased, no longer available, removed with an eligible account deletion, or changed for law, security, fraud prevention, or error correction. An approved unpaid registration fee remains due and is restored if removed.
Event registrations and acceptance recordsNo automatic time-based deletion. Withdrawal changes status and does not necessarily erase the registration. Records may remain for event administration, accounting, safety, disputes, and legal obligations.
Account preferences and private profilesNo automatic time-based expiration. They remain until changed or deleted by the user or until an eligible account deletion, subject to limited backup, security, fraud-prevention, and legal exceptions.
Orders, refunds, disputes, and accounting recordsRetained as reasonably needed for fulfillment, accounting, tax, fraud prevention, disputes, enforcement, and legal obligations.
Contact and support messagesRetained while reasonably useful for service, transaction, incident, dispute, security, or legal purposes, then deleted or anonymized when practical.
Security, error, and email-delivery logsGenerally no longer than 90 days unless needed for an active security, delivery, fraud, or legal investigation or controlled by a provider's shorter setting.
Public event results and Outwork mediaNo automatic time-based expiration. They may remain as an event archive, subject to appropriate removal requests and Outwork's recordkeeping, safety, speech, and legal interests.

Privacy Policy - choices, security, and contact

Your choices and requests

A user may update certain account information, remove cart items and saved programmer profiles, withdraw an eligible approved event entry, or delete an eligible account through the website. A person may email outwork.robotics@gmail.com to request access to, correction of, a copy of, or deletion of personal information.

We may verify identity and authority before acting. Some transaction, acceptance, safety, fraud-prevention, or legal records may be retained or restricted from deletion. If applicable law grants additional rights, Outwork will honor those rights and any required appeal process.

Security

We use administrative, technical, and organizational measures designed to protect information, including access controls, private storage, encrypted transport, rate limits, bot checks, payment-provider checkout, and restricted diagnostics. No internet service can guarantee absolute security. Users are responsible for unique passwords and for protecting access to their email accounts.

Minimum age

The website and Outwork accounts are intended only for people who are at least 13 years old. A person under 13 may not create an account, submit personal information, purchase a product, or register for an event. Account creation and event registration each require an express checkbox affirming that the user is at least 13. If we learn that a child under 13 submitted personal information, we will take reasonable steps to delete it. A parent or guardian may request review or deletion by email.

Location, changes, and contact

The service is operated from Virginia, United States, and providers may process information in other locations. Questions and privacy requests may be sent to outwork.robotics@gmail.com.

We may update this policy as services, providers, laws, or practices change. An update will show a new effective or last-updated date at the same permanent website location. For a material change, we will provide prominent website notice or email notice before the change takes effect when practical. Changes needed for security, fraud prevention, or legal compliance may take effect immediately, with notice as soon as practical. Changes will not retroactively remove a right attached to a completed purchase or accepted registration where doing so would be unlawful or materially unfair. Renewed acceptance may be required for a material change affecting future activity.
